The position is based in Hammersmith where the Sales & Marketing, Accounts, People and Operations Teams are located. The People Development Director, who the role reports in to, works from home in Sheffield and London.

The business comprises of Roof Gardens/ Babylon Restaurant in High Street Kensington, Ulusaba Private Game Reserve in South Africa, Necker Island in the Caribbean, Necker Belle a luxury catamaran, Kasbah Tamadot in Marrakech and The Lodge (a Ski Lodge) in Verbier, Switzerland. There are a number of other potential businesses in development at present including a safari camp in Kenya.

The role provides a PA service to the Financial & Commercial Director, the Group Operations Director and the People Development Director compiling of admin support, some diary management, organising travel and accommodation needs, drawing up itineraries etc. Another major aspect of the role is responding to guest feedback on behalf of the MD. This is a very important aspect of the role and requires good attention to detail and the ability to adopt the Virgin tone of voice in written correspondence.

Here's what you need to have:

Qualifications & Experience

- Computer Skills MS Word/Excel/PowerPoint/Outlook (Typing speed 50/55wpm)
- Previous PA experience to multiple roles an advantage
- Experience of diary management, and detailed itineraries for overseas travel arrangements

Here's what you'd do

Supporting and assisting the People Development Director, Financial & Commercial Director and Group Operations Director, specifically:

- Travel bookings for Exec Team as required inc. flights, hotels, car
parking etc.
- Expenses for Exec Team
- Email management for FCD during holidays
- Electronic diary management for FCD & OD
- Uploading and maintaining policies on in-house intranet (Wiki)
- Individual responses for client feedback received monthly from all
- Flight bookings for team members across the whole group
- Preparing ad hoc presentations
- Ad-hoc support to Training & Development Manager and Spa Manager
- Liaison with People & Benefits Manager
- Maintenance of existing office contracts and setting up of new accounts
e.g. couriers, suppliers
- Office management including liaison with cleaning company, landlord, recycling company, milkman etc.
- Production and distribution of weekly movements sheet
- Stationery and ad hoc consumables/equipment ordering
- Regular update of internal telephone directory
- Tracking and recording of team holiday on the HR database
- Printing and binding of monthly reports
- Customer Service Benchmarking (Quarterly report)
- Issuing and tracking of charity vouchers
- Courier and taxi bookings
- Meeting and greeting all relevant visitors to Head Office
- Answering and dealing with phone calls
- Post outgoing
- Meeting rooms preparation and service
- General administrative duties and filing
- Updating of notice boards at Head Office

Here's the deal

- £24,500
- The official office hours are 9am to 5.30pm, Monday to Friday however you would be required to work as and when necessary to fulfil your role. No overtime is payable.
- 4 weeks annual holidays Bank Holidays
- Additional day off for birthday

- Healthcare after 12 months service (The company contributes 50% of the annual fee in the first year and after 2 years service at the review date of 1st April, 100% of the fee)
