We are looking for an experienced PA to join the Recruitment Team based in the Human Resources & Development (HR&D) department at Baker & McKenzie in London.

You will be providing first-class PA support to the Recruitment team, members of the business and external providers.

The successful applicant must be able to demonstrate PA and administrative competencies to the highest level. You must be hardworking, organised, conscientious, have excellent attention to detail and be friendly in your approach.

In terms of experience, we are looking for someone who has legal sector or other professional services experience. HR and/or Recruitment experience is desired but is not essential.

There is also a Head of Diversity & Corporate Social Responsibility and a Head of Secretarial Services, both of whom work with relevant people from across the teams and the business.

Job Purpose

To provide first-class administrative support to the Experienced Hire Recruitment team. The team has a high level of interaction with internal and external clients, so the role involves working with team members to deliver a professional and efficient recruitment service, with a strong focus on client delivery. Working closely with the Head of Recruitment, the Experienced Hire Recruitment Manager and also with the Recruitment Coordinator (based remotely in Manila) on all recruitment related activity.

The role will also involve providing daily PA support to the Head of Recruitment.


Coordination and arrangement of interviews when required, liaising with team, the business, recruitment agencies and HR team as necessary, booking rooms and updating the Recruitment calendar.

Providing PA support to the Head of Recruitment.

Ensuring that, with the support of the Manila based Coordinator, that all applications, CVs and interview updates are put onto the online recruitment system.

Supporting the Head of Recruitment on the lateral partner hiring process.

Production of offer letters, contracts and new joiner packs.

Manage the candidate onboarding portal, send day one joining instructions to new recruits and update the Starters & Leavers' Report.

Requesting and following up references and medicals for new joiners.

Contact for new joiners (including meet and greet).

Assistance with new joiner pre-joining queries and liaison with other Support departments to coordinate the new joiner process.

Working with the Learning & Development Officer to ensure that all new joiners attend induction where applicable.

Responsibility for the Recruitment inbox (in the absence of the Manila Recruitment Coordinator).

Provision of administrative support to members of the Experienced Hire recruitment team e.g. production of interview packs, job descriptions, literature etc.

Assistance with the production of reports and management information e.g. Management Committee updates, weekly recruitment updates, ad hoc reports.

Monitoring and processing of experienced hire recruitment invoices.
