Job Details

Days / Hours of Work: Monday - Friday / 7 hours between 07.00 - 19.00 (Normal shift will be 11.00 - 19.00 but flexibility is required)

To provide a speedy and efficient internal Logistics support service to all staff at 10 Upper Bank Street and support for sub-tenant occupants. Duties to include distribution & despatch of mail & courier items, porter services, general copy and print services as well as support for all matters relating to delivery, access, distribution, storage and Health & Safety of the Loading Bay areas, Goods lifts and truck access areas.
Ground Transport - Clifford Chance Cars (Oscar) Administration duties, including database updates and complaint handling.

Key Responsibilities

To have a good working knowledge of digital/network printing, high to mid volume reprographic copying/printing and colour copying/printing within the Legal sector
Finishing of documents, such as types of binding and drilling as specified on the job ticket ensuring all equipment is operated and maintained correctly and all quality checks are completed.
Attend relevant training to further develop areas of technology/professional skills to keep in line with the business needs.

Allocating relevant disbursement costs via the cost recovery terminals for all print / mail and stationery items.
To receive all incoming couriers, to security x-ray scan them to ensure that all items are safe for handling, enter onto the mailroom despatch system and ensure full internal delivery is made; including either a signature or record made of delivery.

Collecting from various points, sorting, opening and delivering all mail & periodicals to on-floor racking stations, (including sub-tenants), general maintenance of these areas and clearing these areas for onward distribution.

To undertake the sort and franking of outgoing mail, in the correct manner to ensure that all items are despatched quickly and correctly.

Ensure that all stationery orders are delivered (individuals and cabinet areas) and that all photocopier areas are checked, maintained and cleared regularly. Any H&S defects found are reported immediately.
To keep Loading Bay clear by delivering all items, monitoring deliveries and collections, ensuring that vehicles are moved away as soon as possible and reporting all safety issues to relevant departments.
To maintain all data within the Zone Manager booking software in relation to deliveries and allocated time delivery bookings for all building tenants and liaise with Security staff , so they are aware of all vehicle movements during out of hours cover periods.
Communicate potential or actual problems during day-to-day operational activities and equipment faults to a Supervisor.
To monitor Car Services in-box activity for feedback / complaints and respond accordingly, where appropriate to sender and/or respective vendor to report issue.
Have a working knowledge of general H&S matters and be a trained Fire Marshall.
Cover the team workload for absence and holidays.

Undertake any other duties as requested by a Supervisor or line managers.

Skills and Qualifications

Knowledge of reprographics, scanning, and the firm's desktop operating systems
Ability to communicate well with others both for taking and giving instruction
Be adaptable to changing requirements and timescales
Good organisational skills and makes decisions using sound judgement
Organises time and workload effectively with the ability to prioritise
Knowledge of Microsoft Office, including Outlook, Word & Excel
Basic keyboard skills
